Job Title: Ward Clerk

Hours: 37.5 hours, Flexibility required across 7 days – Shift will be a combination of 8am – 4pm / 7.30am – 3.30pm / 10.00am – 6.00pm

Role details:
The purpose of this role is to Support the ward clinical staff by undertaking administrative tasks relating to staff development & training, communication & operational processes to ensure that a welcoming and professional greeting service is provided to patients and visitors; to ensure the smooth running of the admission and discharge process for patients on
the ward and to ensure accurate and timely completion of unit databases
Duties to include but not limited to:
* Act as a first point of contact in person or on the telephone for patients, relatives and visiting staff, welcoming them to the ward and dealing with any queries, including those relating to admission, discharge, visiting times, claiming expenses, accommodation, insurance and parking.
* Liaise with other departments/hospitals to obtain images and results for authorised users and scan images and results onto the patient’s electronic patient record if required.
* Undertake other admin duties including the distribution and redirection of mail as required, filing, photocopying and ordering of stationary when required to ensure the smooth running of the ward.
* Scan all paper documentation completed during the patient’s admission into the patient’s electronic patient record ensuring that the correct document titles and dates are recorded against each scanned document.
* Confirm all patient records are correct. Collect personal and confidential information from patients or relatives in order to complete the admissions process including assignment to correct consultant; and ensure patient admissions, discharges and transfers are recorded in a timely manner on the patient administration system. Ensure 1 adherence with the Data Protection Act and Trust procedures in respect of confidentiality and the patient record.
* Ensure that information on overseas patients is entered accurately onto EPR and communicated to the Overseas team, to ensure appropriate charges are processed.
* Support the ward staff with arranging discharges, liaising with all necessary teams and coordinating patient transport. Ensure that follow-up appointments are booked if required.
This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You’ll have the following skills/experience:
* Excellent communication skills, able to demonstrate examples of having dealt with challenge
* Previous experience working in a healthcare setting.
* Good level of IT literacy: able to use Microsoft packages confidently.
* Good organisational skills and attention to detail.
* Able to adopt a sensitive approach to difficult situations when dealing with patients and relatives.
