Job Description

Job Title: Business Support Assistant Location: LL13 8BG Start Date: ASAP Contract Duration: 1 Month Contract, with the possibility of an extension Working Hours: Full Time, 37 Hours Per Week, Mon - Fri Pay Rate: £12.21 Per Hour About the role: To provide high-quality administrative and business support to ensure the smooth and efficient running of the department. The role involves data management, communication with internal and external stakeholders, and various administrative duties that contribute to the overall effectiveness of Council services. Key responsibilities: Act as the first point of contact for internal and external queries via telephone, email, or in person, offering excellent customer service in accordance with departmental standards. Accurately input, retrieve, and present data using both manual and electronic systems; support reporting needs for management. Develop and maintain local spreadsheets, databases, and records in line with manager direction, meeting regular reporting deadlines. Provide reception cover, signposting visitors, customers, and external agencies to appropriate contacts or services. Maintain and distribute up-to-date service information to staff, partners, and service users as required. Organise and manage filing systems, including the setup and maintenance of physical and electronic files; ensure archiving and retrieval processes are followed correctly. Manage incoming and outgoing mail, faxes, and departmental inboxes; assist with diary management and meeting coordination. Produce accurate word-processed documents, letters, reports, forms, and presentations using departmental templates. Skills and Experience: Essential: 5 GCSEs (including English & Maths) or equivalent experience. Proficient in Microsoft Office applications, especially Word and Excel. Experience working in a busy administrative environment. Strong written, verbal, and numerical communication skills. Excellent customer service and interpersonal abilities. Strong organisational skills and the ability to meet deadlines. Ability to maintain confidentiality and follow processes accurately. Ability to work independently and as part of a team. Ability to travel across the borough if required. Desirable: RSA II/III, ECDL, or equivalent IT qualifications. Experience with PowerPoint and specialist databases. Experience of working with financial systems, petty cash, or invoice processing. Experience of working in a local authority or similar public service setting. Ability to communicate in Welsh.
