About the role
We're seeking a detail-driven Accounts Assistant to support day-to-day finance operations in a busy transport & logistics environment. You'll focus on sales invoicing, cross-referencing invoices against loads, accurate data entry, and close liaison with Transport Managers. Industry experience is a plus, not a must - strong bookkeeping fundamentals and accuracy are what matter most.
Key responsibilities
Generate and issue accurate sales invoices; apply correct rates, surcharges, fuel levy and VAT.
Reconcile loads: match invoices to jobs (CMR/PODs, weighbridge tickets, dockets, rate cards).
Enter and validate data in TMS/accounting systems; resolve discrepancies with Transport/Ops.
Chase and file proof of delivery (PODs); maintain clean, auditable records.
Assist with credit control: statements, query resolution, aged debt follow-ups.
Spot-check job revenue/margin; flag unbilled loads, waiting time, demurrage, redeliveries.
Support month-end: debtor reports, journals, reconciliations (bank/debtors/control).
Provide purchase ledger cover as needed (supplier invoices, PO matching, payment runs).
Produce daily/weekly KPIs (invoicing volumes, unbilled jobs, aged debt, query log).
Suggest and help implement process improvements (EDI invoicing, data capture, templates).
What you'll need
1-3+ years in Accounts/Finance Admin/Accounts Assistant (or similar).
Working knowledge of bookkeeping (debtors/creditors, journals, VAT).
Proficient in Excel/Google Sheets (filters, lookups, pivots) and quick to learn new systems.
High accuracy and numeracy with strong attention to detail under time pressure.
Clear, professional communication; comfortable liaising with operations and customers.Nice to have
Exposure to transport/logistics/warehousing
Experience with Sage/Xero (or similar) and a Transport Management System (e.g.,MoveIT).
Knowledge of Irish VAT on transport services and cross-border billing.
EDI invoicing/portal experience and working with customer rate cards.
