We are working in partnership with a respected building services consultancy based in Caterham, to recruit a highly organised, proactive, and personable Administrator. Our client is seeking a highly organised and proactive Administrator to support day-to-day operations and ensure the smooth running of the office. This role requires excellent communication, time management, and multitasking skills, as well as the ability to manage a range of administrative and operational tasks efficiently.
Location: Caterham
Hours: Monday to Friday, 8:00am to 4:30pm (some flexibility)
Salary: £25,000 to £30,000
Benefits: 21 days holiday + bank holidays, pension, local parking paid
What will your key responsibilities include?
* Answer and direct incoming phone calls, take accurate messages, and transfer calls to the appropriate personnel.
* Manage tender enquiries: receive, process, book, and issue tenders to clients in a timely manner.
* Create and manage new job files; ensuring all tender documentation is accurately filed and records are maintained.
* Raise purchase orders, monitor stock levels, and manage the timely ordering of office supplies and materials.
* Coordinate the maintenance and calibration of instruments, including scheduling servicing and necessary repairs.
* Input and maintain weekly employee timesheets with accuracy and attention to detail.
* Perform general administrative duties such as photocopying, scanning, and filing documents.
* Organise domestic and international travel arrangements, including booking flights, accommodation, and car hire.

To thrive in this fast-paced environment, you'll be someone who takes initiative, is comfortable managing multiple priorities, and brings a proactive, solutions-focused mindset. Experience working in a technical, engineering, or service/maintenance setting would be beneficial.
* Strong administrative or Office support experience is essential
* Excellent organisational and multitasking abilities
* Strong communication and interpersonal skills
* Proficient in Microsoft Office Suite (Word, Excel, Outlook)
* Attention to detail and ability to maintain accurate records
