Term-time, part-time (9:00am-1:00pm) plus additional days (negotiable)

St Catherine’s was founded in 1885 and in 2025 celebrates 140 years of successful education for girls. The School is an Independent Church of England Day and Boarding School, in membership of the Girls’ Schools’ Association and the International Coalition of Girls’ Schools, with 820 pupils aged between 3 and 18. The School is situated in a 25-acre site in the village of Bramley, three miles south of Guildford off the main Horsham Road (A281) and on the edge of the Surrey Hills Area of Outstanding Natural Beauty.
We are seeking a proactive and highly organised Teaching and Learning Administrator to support the academic life of the school. This is a pivotal role that ensures the smooth running of teaching and learning systems, data management, and academic administration.
The successful candidate will work closely with senior leaders, teaching staff, and support teams to help deliver an outstanding educational experience for every pupil.

Personal and Professional Qualities Required
We are seeking a Teaching and Learning administrator who is energetic, flexible, friendly and enthusiastic with a can-do attitude and willing approach. Working as part of a team is vital and the successful candidate should be able to work constructively within a small, closely-knit and very busy administrative team.
Teaching and Learning Administrator - Essential qualities
Excellent IT skills, including advanced use of Microsoft Office (especially Excel), cloud-based systems, and school management software.
Strong organisational skills with the ability to prioritise and manage multiple tasks efficiently.
High attention to detail and accuracy in data handling and reporting.
A proactive approach with the initiative to improve systems and processes.
Strong interpersonal and communication skills, with the ability to work collaboratively across departments.
A flexible and adaptable mindset, with a willingness to embrace change in a dynamic school environment.
Teaching and Learning Administrator - Desirable qualities
Experience working in a school or educational setting.
Familiarity with MIS (Management Information Systems) such as SIMS, iSAMS, or similar.
An understanding of safeguarding and data protection in schools.
The role necessitates the ability to deal appropriately with a wide range of people from girls to parents to staff as well as visitors to the School; flexibility is the key as well as absolute confidentiality. The successful applicant will have the ability to work on his/her own initiative and to prioritise effectively. He/she will also have good levels of stamina, loyalty and confidentiality, combined with a lively sense of humour.
Teaching and Learning Administrator - Key Responsibilities
* Provide high-level administrative support to the Director of Studies and academic leadership team.
* Manage and maintain academic records, timetables, and teaching schedules.
* Support the administration of internal and external assessments, including data entry, analysis, and reporting.
* Coordinate Teaching & Learning training and logistics for teaching staff.
* Assist with the implementation and monitoring of teaching and learning initiatives and quality assurance processes.
* Liaise with IT and data teams to ensure systems are up to date and fit for purpose.
* Prepare documentation, reports, and presentations for meetings and inspections.
* Support the development and maintenance of digital platforms used for teaching and learning.
* Communication with parents on academic matters.
Essential IT Skills
* Excellent IT skills, including advanced use of Microsoft Office (especially Excel), cloud-based systems, and school management software.
* A proactive approach with the initiative to improve systems and processes.
* The standard software package used in School is Microsoft Office 365 as well as a range of School Information Management System (SIMS and Edulink) modules.
The following is an indication of the specific tasks the post holder may be involved in:
Regular
* Supporting curriculum mapping or audit tasks using digital tools to track coverage and progression
* Collating papers/taking minutes for and keeping accurate records of internal meetings
* Liaising with parents, pupils and staff regarding appointments with the Director of Studies
* Supporting student voice initiatives, including collating feedback from pupil surveys or helping facilitate student-led academic panel
* Coordination of internal documentation, including using mail merge e.g., for boarders’ reports, academic tracking documents, ad hoc individual academic reports
* Co-ordination of Round Robins for staff
* Administration for Academic handbooks
* Producing, checking and sending Edumail comms to parents
Occasional
Organisation, administration and minute taking of the termly Governors’ Academic Committee Meeting
Coordination of routine tests such as MidYis, YELLIS and Alis Assessment
Administration and co-ordination of annual U3 trip
Collating Order of Merit marks
Supporting organisation of events promoting Teaching and Learning
Coordination and administration of subject choices for girls from Upper 3 to Upper 5 and to keep this information updated to support timetabling
Collation of information for the annual New Girls document
Collecting and processing data to support the Director of Studies, such as predicted grades for UCAS, grade cards for 6th form option choices, for AS, GCSE and University applications.
Proofreading and typing up Student Parent Discussion forms (SPDs) and emailing them to the relevant staff distribution list (as agreed with the Director of Studies) and to pupil filing.
Assisting with other tasks which are reasonably required for the post
Attendance at Speech Day (annual event, usually first Saturday in July)
Boarders’ reports for parents’ evenings
Collation of new L6 GCSE results
Updates to CLUGO groups
