We're seeking a proactive and organised Administrator to support an engineering and manufacturing team within their Field Service Department . This pivotal role ensures smooth operations across service logistics, compliance, and internal coordination.
Key Responsibilities
Administrative Support: Provide documentation, reports, and presentation support for the Field Service team.
Security & Compliance: Manage airport/CTC pass renewals and coordinate documentation with authorised signatories.
Uniforms & Tooling: Order and track Field Service Engineer (FSE) uniforms; maintain tooling asset registers.
Equipment & Software Management: Schedule and document X-ray machine maintenance; manage software licences, renewals, and purchase orders.
Fleet Administration: Oversee vehicle scheduling, maintenance, and compliance; keep accurate fleet records.
Timesheets & Payroll: Collect and process timesheets and overtime requests; support payroll reporting.
Office & Data Management: Maintain supplies, contact lists, and databases; support data entry and analysis.
Communication & Coordination: Act as key point of contact for internal/external service enquiries; facilitate cross-department communication.
Additional Duties: Support service events, meetings, training sessions, and ad-hoc projects.
Experience & Skills Required
Proven experience in administrative support, ideally in an engineering or technical environment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organisational and multitasking ability.
Excellent written and verbal communication skills.
High attention to detail and strong problem-solving ability.
Ability to work independently and collaboratively.
Familiarity with fleet management, timesheet processing, or callout services (desirable)
