About the Role
We are seeking a highly organised and proactive Facilities Management Administrator to join our [Facilities / Estates / Operations] team. This role is essential to ensuring the smooth and efficient running of our buildings and services. You’ll support the day-to-day operations of the facilities department, coordinate maintenance activities, manage suppliers, and help ensure compliance with health and safety standards.
Key Responsibilities
Provide administrative and operational support to the Facilities Manager and wider team.
Coordinate maintenance requests, track progress, and ensure timely completion of works.
Manage supplier relationships, including raising purchase orders and processing invoices.
Maintain accurate records of inspections, service contracts, and compliance documentation.
Assist with space planning, office moves, and general facilities projects.
Respond to staff queries and issues promptly, delivering excellent customer service.
Monitor stock levels of facilities supplies and ensure timely reordering.
Support health and safety compliance, including scheduling audits and updating risk assessments.
About You
Strong organisational and multitasking skills, with attention to detail.
Excellent communication skills — able to liaise confidently with internal teams and external contractors.
Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning facilities management software.
Experience in a facilities, property, or administrative role (desirable but not essential).
A proactive, problem-solving mindset and the ability to work independently.
Knowledge of health and safety or building compliance processes (an advantage).
