Working Pattern: Shift-based with flexibility required to meet seasonal demands, including occasional weekend and evening work Team Size: Typically 4-6 team members (average 4) About the Role We're looking for a hands-on Operations Supervisor to work as second-in-command to our Head of Operations Workshop. This is a practical leadership role where you'll balance direct supervision of team members with active contribution on the warehouse floor. You'll coordinate daily operations across both Dispatch and Returns, managing workflow distribution and making real-time decisions to keep our operations running smoothly in the fast-paced events industry. During quieter periods, you'll also support other warehouse activities such as stock reorganization and workshop projects, giving you broad exposure to our operations and helping to develop your understanding of the wider business. Key Responsibilities Team Supervision & Coordination - Supervise and support a team of 4-8 warehouse operatives across Dispatch and Returns operations - Allocate resources and distribute workload effectively to meet tight event deadlines - Work alongside your team on the warehouse floor, leading by example - Lead short daily team briefings to coordinate priorities, share updates, and address any issues - Provide regular updates and reports to the Head of Operations Workshop - Collaborate with other workshop teams - Support the training and development of team members in line with company standards - Build team capability by identifying skills gaps and coordinating cross-training opportunities - Maintain a positive team environment, recognizing good work and supporting morale during busy periods Operational Excellence - Coordinate the accurate and timely dispatch and return of equipment in line with paperwork and system requirements - Review forward schedules with HOOW to anticipate busy periods and plan team resources accordingly - Act as a quality assurance checkpoint, identifying and resolving issues before equipment leaves or re-enters stock - Respond to operational issues in real-time, problem-solving with your team to maintain workflow - Prioritize work based on show criticality and client deadlines, escalating potential delays immediately - Maintain accurate stock levels and ensure all equipment movements are properly recorded in Hirehop - Monitor equipment condition and report any damage or discrepancies to the relevant department - Identify patterns in equipment issues or recurring problems and report trends to technical workshops and HOOW - Work with the team to maintain organized, efficient work areas using good housekeeping practices - Support other warehouse operations during quieter periods, including warehouse reorganizations, stock moves, and assisting workshops with their activities - Contribute ideas for improving processes and making operations more efficient Systems & Processes - Use Hirehop (our hire system) to process dispatches, returns, and stock movements accurately - Work with Office 365 tools including Teams and SharePoint for communication and documentation - Maintain clear shift handovers and documentation to ensure continuity across the team - Follow established procedures and identify opportunities for process improvements - Maintain accuracy of all paperwork and digital records related to equipment movement - Work with HOOW to develop and track team performance measures as the business evolves Communication & Coordination - Liaise with delivery drivers to coordinate timely collection and delivery of equipment - Work with technicians and pre-riggers to understand equipment requirements and timelines - Communicate effectively across all warehouse teams and with other White Light locations - Escalate issues appropriately and keep HOOW informed of operational matters Health, Safety & Standards - Uphold health and safety guidelines in a supervisory capacity, promoting safe working practices - Operate manual handling equipment safely, including potential forklift operation (training provided) - Maintain White Light's quality and service standards across all operations - Handle equipment appropriately, identifying and using correct bar codes and storage procedures What We're Looking For Essential Experience & Skills - Previous warehouse or logistics experience with some supervisory or team coordination exposure - Ability to work effectively under pressure and manage competing priorities in a time-sensitive environment - Strong organizational and time management skills with a tactical approach to daily operations - Excellent attention to detail when processing equipment and documentation - Clear communication skills for coordinating with team members, leadership, and other departments - Confident using IT systems and comfortable learning new software Personal Attributes - Calm, flexible approach to handling tight deadlines and seasonal peaks, particularly during busy theatre production periods - Professional attitude when representing White Light - Open to new ways of working and contributing to operational improvements Practical Requirements - Ability to work shift patterns that flex with seasonal demand - Willingness to work occasional weekends and evenings during peak periods - Comfortable working in a warehouse environment with temperature variations - Capable of manual handling tasks and operating equipment such as pallet trucks, scanners, and tablets Desirable - Knowledge of professional lighting equipment and wider events industry equipment - Experience working in the theatre, events, entertainment, or production industry - Understanding of West End theatre and touring production operational requirements - Experience using hire management systems or similar inventory software - Forklift license (or willingness to obtain through our training) - Experience coordinating work across multiple locations or sites -
