Department Administrator (ALS) – 21 hours per week – Broxbourne & Ware - £14.77 per hour We are recruiting for a temporary Department Administrator to work at Hertford Regional College to help deliver an outstanding learner experience and be inspirational to students at their state of art facilities in Broxbourne and Ware. About The Role We are seeking an individual who is passionate about supporting the administrative needs of the ALS Team. They will report to the ALS Admin Team Leader. They will focus on inputting of data into ProSolution, administering the Exam Access Arrangements (EAA) process, supporting EHCP Annual Review process and other general administrative duties. Duties include: * General administration for the team * Inputting and amending data on college systems to ensure that ALS funding is correct. * Developing and maintaining an effective system to log and track information relating to EAA in liaison with curriculum staff and Exams Dept. To work with EAA Assessor to ensure all learners entitled to EAA receive the agreed arrangements. * Responding to internal and external enquiries relating to all department issues. * Acting as first point of contact for all queries from Lecturers, learners and parents * Maintaining learner files online * Using the college finance system to place orders, including credit card orders, recording goods received against delivery notes and arranging credit notes. * Contacting learners when support is cancelled. * Supporting EHCP Review process with Profilers: booking EHCP reviews, inviting learners, family and professionals, * Assisting at Open Evenings on a Rota basis: Preparing rooms and organising marketing material for the evening. * Reporting premises and health and safety issues. * Distributing departmental post. * Other department duties as authorised by the Administration Manager commensurate with the grade of the post. * Undertaking other tasks, as directed, to meet the needs of the College; work flexibly; and take personal responsibility for retaining and developing competence. * Supporting and promoting the College’s equality and diversity, health and safety, smoking, safeguarding, and other policies, processes, arrangements and objectives. About You Successful candidates will display a high level of secretarial and administrative skills. (min 1 year), previous experience of working in a similar role, ability to manage information efficiently and effectively within a further education college, experience of providing a customer focussed service. They will be proficient in the use of Microsoft Office, word processing, spreadsheets and databases, possess a good standard of written and verbal communication, have the ability to work as part of a team in a busy environment, have proven experience which will enable you to carry out work with minimum supervision and solve a variety of problems and the ability to organise your work in an effective way. You will be educated to GCSE standard, or equivalent, with a minimum of grade C in English and Maths.
