Document Controller – Building Services (M&E) Location: Cambridge (North Side – Head Office) Employment Type: Full-Time, Permanent Salary: £26,000 – £35,000 per year (depending on experience) Hours: Monday to Friday, 8:00 AM – 5:00 PM Job Overview We are seeking an experienced and detail-focused Document Controller to join a busy and dynamic Building Services (M&E) team. In this role, you will play a crucial part in managing and maintaining project documentation — ensuring accuracy, accessibility, and compliance with industry standards. Acting as the central hub of project information, you’ll work closely with design, engineering, and project management teams to ensure the right documents reach the right people at the right time. Key Responsibilities 1. Document Management Maintain an organised and efficient system for storing and retrieving project documents (drawings, technical submittals, O&M manuals, specifications, RFIs, correspondence, etc.). Ensure all documentation is properly version-controlled and distributed in line with company and project requirements. Manage uploads and downloads through document management systems such as Viewpoint, SharePoint, Aconex, 4Projects, or Asite. 2. Quality & Compliance Check documents for accuracy, completeness, and adherence to company and client standards before issue. Ensure compliance with relevant quality procedures, ISO standards, and project-specific document control protocols. Support internal and external audits by ensuring all records are up to date and traceable. 3. Project Coordination Collaborate with Project Managers, Design Engineers, and Site Teams to track document progress and deadlines. Coordinate drawing and document submissions to clients, consultants, and contractors. Maintain registers of design changes, approvals, and revisions. 4. Communication & Support Act as the central contact point for document control queries across the business. Provide guidance to teams on document control processes and best practices. Support the preparation of handover documentation (O&M manuals, completion certificates, commissioning records, etc.). 5. Administration & Reporting Maintain document logs and transmittals. Generate reports on document status, outstanding reviews, and revision histories. Ensure archived project files are securely stored for future reference. Skills & Experience Proven experience as a Document Controller within construction, building services, or engineering sectors. Strong understanding of Mechanical & Electrical (M&E) project documentation and workflows. Proficient in using Electronic Document Management Systems (EDMS). Excellent attention to detail and organisational skills with the ability to manage multiple priorities. Clear and confident communicator, able to liaise effectively with internal teams, clients, and consultants. Competent with Microsoft Office, particularly Excel and Word. Your Background Previous experience in a construction or M&E contractor environment. Familiarity with technical drawings, submittals, and project lifecycle documentation. May have progressed from an administrative or project support background into document control. Why Apply?
