You know that feeling when you’ve been organising something for weeks, every little detail finally comes together and you can stand back and think, yep, that worked because I was on it? You’ll get quite a lot of that here. As Event Operations Coordinator, you’ll be behind sporting events across the UK and overseas, making sure everything needed for race day is ready long before the competitors arrive. The bibs. The timing chips. The competitor data. The printing. The packing. All those details most people never think about. You will. Because when you’re the Event Operations Coordinator, your job is to make sure nothing gets forgotten. Once an event is confirmed, you’ll pick up the detail and start pulling everything together. You might have several events on the go at once, all at completely different stages. One needs bibs ordering. You’ve got competitor data to sort in Excel, a delivery that needs checking and boxes that have to be packed and dispatched before the courier arrives. Because that’s the kind of person who’ll enjoy being an Event Operations Coordinator here. You’ll probably have worked somewhere before where lots of things were happening at once. Maybe that’s events. Maybe hospitality, leisure, logistics or a busy operations environment. Your job title matters less than whether you’re the person people trust to remember the detail. You’re organised without needing someone standing over you. You spot the typo on the proof before it goes to print. You know which deadline can move and which absolutely cannot. And when something doesn’t go to plan, you don’t spend twenty minutes talking about the problem. You work out what needs to happen next. There’s a hands-on side to the Event Operations Coordinator role as well. Some days you’ll be dealing with customers and suppliers, raising purchase orders or booking hotels, vehicles and flights for event teams. Other days, you’ll be checking stock, unpacking deliveries or helping get everything packed and ready to leave. It’s not a role where “that’s not really my job” works particularly well .It’s a small team. People muck in. They have a laugh, there’s plenty of banter and the atmosphere is pretty relaxed. When event season gets going, it gets busy. March to mid-June and September to October are typically the peak periods, and there will be weekends when you’re supporting events too. You’ll be taking over from a lady who has been here for nearly 12 years. That’s worth mentioning because she’s loved working here. You’ll also have an Operations Manager taking ownership of the wider operation, so when priorities clash or something needs a bigger decision, it doesn’t all land with you. What they need from you is ownership of your bit. Know what events are coming. Know what needs ordering. Keep the customer and suppliers talking. Make sure the data is right. Get everything where it needs to be, when it needs to be there. Then enjoy seeing it all come together. You’ll need to be comfortable using Excel for sorting, filtering and manipulating data, but you don’t need to be an Excel wizard. You will be rewarded with a competitive salary of £30-35k. The hours of work are 9-5 Monday -Friday, however due to the nature of the role there will be a requirement of some weekend work both in the UK and overseas, however this will be fully subsidised, and you will accrue days off in lieu.
