Job Description

JOB CONTEXT: Working from our client's Chesterfield office and reporting to the Lead Export Account Manager, you will provide administrative support to the Export Account Managers, to ensure the timely processing and delivery of customer orders, with a key focus on accuracy and export compliance. KEY RESPONSIBILITIES: • Operate as part of a flexible administration team to provide an efficient service to both internal and external personnel. • Work as daily support to the Export Warehouse Teams, liasing with agents, remote staff and identified remote points of contact. • Managing smooth transition of orders from Uk to completion and delivery to customer. • Liase with Suppliers and Purchasing Dept to ensure smooth transition of material to remote sites, including import legislations/documentation (Inter Plant Transfers) • Raise and monitor export licence documentation • Manage back-to-back sales opportunities for Account Managers, including shopping, chasing responses, raising BTB requisitions, chasing suppliers and updating system accordingly. • Provide cover in busy periods or holidays/sickness for creation of export paperwork and arrange shipping. • Manage export packaging requirements (projects/day-to-day box ordering etc) • Control stock levels of customer special items within the limits agreed. • Operate clear and efficient systems and procedures and regularly monitor these to ensure order entry is in full compliance with the customer requirements and company policies. • Provide regular administrative support to the Account Manager where necessary. • Liaise regularly with customers and monitor their requirements. • Gather and prepare KPI data for the dept • Provide cover for other sales support roles when necessary • Attend regular meetings with customers and/or Account Managers to review orderbooks and forecast sales CANDIDATE REQUIREMENTS: • Outstanding communication and people development skills. • Experience in developing relationships with internal and external customers. • Able to review resources and workload, adjusting as necessary to ensure deadlines are met. Commercial awareness. • Self-motivated with considerable ability to work under own initiative. • Ability to work under pressure and to deadlines. • Attention to detail. • Administration and contract management skills. • Focused understanding of customer care and after sales service. • Basic understanding of the commercial and financial running of the business. • Fully competent in the use of Microsoft Office applications essential. Knowledge of export Incoterms and Import procedures would be beneficial.
