Facilities Administrator

About the Role
We are proud to be working in partnership with a leading Facilities Management (FM) provider, who are seeking an organised and proactive Facilities Administrator to join their team in Glasgow.
This is an exciting opportunity to support the smooth running of FM operations across a diverse client base. The role is primarily office-based with some hybrid working available, and offers excellent career development prospects within a growing organisation.
Key Responsibilities

Provide administrative support to the facilities management team, ensuring day-to-day operations run efficiently.
*
Manage service requests, work orders, and contractor coordination using CAFM systems.
*
Monitor and update compliance documentation, permits, and site records in line with company and client requirements.
*
Liaise with suppliers, contractors, and clients to arrange works, resolve queries, and ensure service standards are met.
*
Support the preparation of reports, KPIs, and client-facing documentation.
*
Assist with scheduling planned and reactive maintenance tasks.
*
Handle general office administration including data entry, filing, and correspondence.
Skills & Experience Required
*
Previous experience in a facilities administration, coordination, or similar support role (FM sector experience advantageous).
*
Strong organisational skills with the ability to prioritise tasks and meet deadlines.
*
Excellent communication and interpersonal skills, able to build positive working relationships with clients and contractors.
*
Confident IT skills, ideally with experience using CAFM systems (e.g., Concept, Planon, or similar).
*
High attention to detail and accuracy in reporting and record-keeping.
