Job Description

Job purpose The HR Advisor will provide wide-ranging HR and personnel support and advice to ensure the delivery of an efficient and compliant HR function of the Missionary Society of Saint Columban. Employment Law & Compliance: Staying up to date on UK employment legislation and ensuring compliance with laws and regulations. Also, maintaining a robust and up-to-date Employee Handbook. The HR Advisor will ensure that the Charity remains fully compliant and that all areas of staff employment are correct and legal. Policies & Procedures: Advising on the implementation of the Charity’s HR policies, ensuring compliance with employment law. Also, assist as apart of team with the review and development process of the Charity’s policies and procedures. Performance Evaluation: Supporting managers in the performance review process and providing advice on performance improvement plans. Training & Development: Identifying training needs, coordinating training programs, and supporting career development and professional growth. Orientation & Induction: Lead the initial introduction of new hires to the charity, it’s culture and ethos. Also, oversee the delivery of a comprehensive orientation plan to ensure new hires are fully integrated into their job role and the Charity’s wider environment. Employee Engagement: Conduct staff engagement activities and various team bonding events, to ensure that employees are feeling connected to their work, their colleagues and the Charity’s vision and mission. Recruitment: Writing job descriptions, leading recruitment campaigns, and managing the interviewing and selection process. Also, the HR Advisor will lead the negotiations on employment terms and conditions. Exit Process: Manage the exit process for employees who are leaving the Charity. This involves conducting exit interviews, collecting exit questionnaire data and managing the resignation task checklist. HR Administration: Efficient management and maintenance of employee records and ensuring diligence and accuracy. HR Software/Tool: Maintain and update employees’ data and profiles on the Charity’s HR Software. Ensure an efficient use of the tool in managing rotas, absences, training, etc. Volunteer Management: Overseeing and coordinating the enrolment of volunteers on various Charity’s programmes. Also, work with line managers on the engagement and retention of volunteers. Principal Tasks Under the supervision and management of the Regional Director, you will: • Provide first class HR advice and support to line managers to facilitate the early resolution of complex or sensitive employee relations issues, ensuring that the risks associated with such cases are effectively mitigated. • Support line managers and the Charity leaders in the management of complex employee cases related to disciplinary, grievance and sickness absence. • Advise and coach line managers on the interpretation and application of HR and employment policies and in accordance with existing and proposed employment legislation to ensure fairness, consistency, accuracy and best practice. • Build and maintain good working relationships with all line managers and other Charity stakeholders. This helps in understanding various needs and challenges and providing relevant HR and employment support and advice. • Stay updated with employment legislation and update the Employee Handbook on regular basis. • Make sure that all areas around staff employment is correct and legal and issuing necessary documentation to support this. • Act as a HR business partner who influences the Charity’s strategic planning and drives necessary change. • Collect any employee payroll related data and send it to the Regional Bursar on a timely manner. • Oversee the resourcing & recruitment plans and provide support in benchmarking, creating job descriptions, handling the recruitment campaigns and managing the selection process. • Onboarding of new employees and making sure that all aspects of the orientation & induction process are fulfilled. • Maintain and update employee records and personnel files on a regular basis. • Work alongside the Regional Bursar to benchmark and implement the annual compensation increase process and ensure that data is discussed and authorised by the Council and that all relevant changes are communicated and delivered accurately. • Manage employee events and team bonding activities to promote employee morale and boost sense of engagement and ownership. • Oversee the enrolment and engagement programme for volunteers. • Manage the exit process for leavers and make sure that all aspects of termination are correct and legal. Person Specification Essential: * A recognised degree in Human Resources Management or a degree in Business with a focus on human resources. * Sound knowledge of HR policies and procedures. * Solid understanding of the UK employment law. * Experience in employee relations, performance management, training, recruitment and all other key aspects of the HR function. * A proven track record in providing advice on various HR complex matters and the implementation of HR systems and solutions. * A proven ability in maintaining a culture of equity, diversity, tolerance and inclusion. * The ability to maintain confidentiality and handling sensitive data. * A minimum of 7-10 years of experience in the HR field. * A ‘people-person’ and a good team player. * Excellent verbal and written communication skills. * Ability to maintain poise under pressure. * Sound data analysis, research and problem-solving skills. * Self-motivated with a ‘can-do’ attitude. * Able to adapt to change and demonstrates resilience when handling changing priorities. Desirable: * Other qualifications or training relevant to the role * Coaching degree * Knowledge and understanding of GDPR. * Knowledge and understanding of workplace health & safety. * Employment within a Charity. * Empathy with the charitable aims of the Columban Missionaries.
