The company
Our client, a well-established and professional organisation based in Chelmsford city centre, are looking for a motivated HR Assistant to join their friendly team. As part of the dynamic People Team, the HR Assistant plays a key role in delivering high-quality HR support across the business. This position is focused on providing efficient administrative assistance, including maintaining accurate employee records, updating policies and procedures as directed, handling data entry, and supporting internal communications. With guidance from the HR Manager, the role also involves offering first-line advice on HR matters such as maternity, paternity, adoption, and return-to-work processes, always in line with company policies and employment legislation. The business are looking for someone who is trustworthy, highly organised, and eager to learn.
Duties
Provide comprehensive administrative support to the People Team, assisting with employee lifecycle processes including onboarding, contracts, benefits, and compliance documentation, ensuring all materials are approved and accurate before distribution.
Maintain and update employee records, personnel files, and HR systems (BambooHR, Timetastic, Terry Berry), ensuring data accuracy and timely updates for starters, leavers, and internal changes.
Support communication across the Group by managing internal platforms, responding to employee and manager queries, and promoting proactive engagement while escalating issues when necessary.
Assist with drafting offer letters, contracts, and onboarding packs following approvals, and ensure right-to-work checks, background screening, and induction steps are completed before start dates.
Coordinate and track key HR processes such as probation reviews, sickness and return-to-work documentation, appraisals, and exit interviews, ensuring timely follow-up and accurate record-keeping.
Monitor employment legislation updates from ACAS and government sources, flagging relevant changes to the People Team and supporting compliance across the Group.
Contribute to ad-hoc projects, acquisitions (including TUPE due diligence), and quarterly reporting, working closely with the Admin Manager and ensuring all outputs are reviewed before submission.
Manage internal tools such as the Text Marketer platform, structure charts, and job spec libraries, ensuring they reflect current organisational data and are easily accessible.
Support training and development by issuing reward letters for passed exams, maintaining your own training plan, and attending relevant seminars or office visits as needed.
Uphold confidentiality and professionalism in all matters, keeping the Admin Manager informed of any sensitive issues or staff concerns, and ensuring all procedures and systems are maintained to a high standard.
The ideal candidate
Human Resources qualification or 18 - 24 months of relevant HR experience preferred
High level of integrity, discretion, and professionalism in handling confidential information
Strong organisational skills with the ability to manage multiple tasks and meet deadlines independently
Excellent interpersonal and communication skills, both written and verbal
Proven ability to build and maintain positive relationships with colleagues at all levels
Team-oriented mindset with a focus on collaboration and mutual respect
Proactive and adaptable approach to problem-solving and continuous improvement
Attention to detail and accuracy in all administrative and reporting tasks
