An exciting opportunity has arisen for a Maintenance Administrator to join a well-established family-run business providing full-service commercial fit-outs and refurbishments across retail, healthcare, and other sectors. They offer project management, reactive and planned maintenance, including plumbing and joinery. Known for delivering high-quality results under pressure, they’ve worked with clients such as Shake Shack, Nationwide Building Society, and the NHS. With offices in East Yorkshire and London, they serve clients nationwide, combining reliability, efficiency, and tailored solutions for each project. As they continue to grow, they have created a brand-new role for a Maintenance Administrator to join their team.
As the successful Maintenance Administrator, you will report to the Contracts Director and be responsible for:
* Raising and managing jobs in internal systems, ensuring all documentation, work orders, and client information is complete and accurate.
* Coordinating workloads and schedules for the maintenance team, allocating tasks based on availability, capability, and deadlines.
* Maintaining accurate records throughout the job lifecycle, including RAMS, site files, client-specific documents, and status updates.
* Supporting financial processes such as raising purchase orders, tracking spend, preparing invoicing information, and reconciling costs.
* Communicating with internal teams, clients, and suppliers to keep everyone informed, resolve queries, and ensure smooth project delivery.
* Generating reports and supporting continuous improvement by monitoring progress, workflow, and resource utilisation, and suggesting process enhancements
As the successful Maintenance Administrator, you will have the following requirements:
* Experience within a Maintenance administrator or coordination role.
* Experience within construction or facilities management is desirable but not essential.
* Competent with Excel.
* Can take instruction and follow a strict process
* Proactive and methodical with high attention to detail.
* Strong communication skills, as you’ll liaise with suppliers, employees, and other departments.
* Collaborative, supportive, and able to work closely with others as needed.
* Comfortable juggling multiple tasks and meeting deadlines in a fast-paced environment.
* Experience with using Evolution System is desirable but not essential.
