Job Description

Job Title: Material Supply Officer Job Overview We are seeking a highly competent and experienced Material Supply Officer to join our team. As the point of contact for all asset deliveries, you will be responsible for effectively communicating with stakeholders and ensuring timely and accurate supply chain performance feedback. Your role will play a crucial part in maintaining up-to-date SAP order books and developing strong relationships with internal stakeholders and vendors. You will also be responsible for delivering business requirements in line with internal processes by adhering to vendor performance and contractual delivery dates. Key Job Accountabilities Coordinate with stakeholders and utilise business-recognised applications to ensure timely delivery of all materials required from suppliers for repairs, spares, aircraft builds, modifications, maintenance, or any other scheduled tasks. Regularly review supplier order books and address any issues with order intake, improving supplier performance, order alignment, schedule changes, and supplier lead time constraints to ensure reliable forecasting accuracy and compliance with exception messages. Monitor supplier performance and proactively develop strong, dynamic relationships to ensure on-time delivery of all materials. Review weekly or monthly Key Performance Indicators (KPIs) for supplier accounts and reduce risks by involving appropriate functions when necessary. Facilitate supplier presentations to the business, including Delivery Schedule Adherence (DSA), Turn Around Time (TAT), feedback on critical spares shortages and repairs, critical programme issues, and Aircraft On Ground (AOG) / High Priority (HP) requirements. Act as a point of contact for facilitating business requirements with suppliers. Participate in multifunctional and multidisciplinary discussions to ensure clear and timely solution development that meets future business requirements. Provide supplier status updates and communicate identified issues and actions as requested. Utilise problem-solving skills and escalate as necessary to influence or attract other required skills from the business to maintain/improve supplier's contractual obligations. Support formal meeting reviews with selected suppliers and/or chair meetings with suppliers. Ensure awareness of shipping arrangements, export licences, end user statements, and their impact on the supply of equipment to the business. Proactively manage order books with internal stakeholders according to internal procedures. Ensure relevant information flows effectively from and within the team and is made available to your manager and stakeholders as necessary. Interface at all levels with external suppliers, from order book administrators to Managing Directors, and represent the business's interests. Report on performance at all levels within the business. Effectively manage suppliers that may have a significant level of complexity involving high volume and/or value to satisfy conflicting business requirements. Ensure the effective management of suppliers and their performance in the most economic, efficient, and timely manner in accordance with defined programme requirements, stakeholder requirements, and relevant business policies. Essential Knowledge, Skills, and Experience Proven experience working in cross-functional teams and managing key suppliers to achieve high levels of business satisfaction and confidence in their ability to meet business requirements. Ability to work in a rapidly changing environment and under pressure, demonstrating agility in thinking to balance a significant number of variables. Excellent verbal and written communication skills when providing feedback to internal stakeholders on Supply Chain performance and the ability to influence internally and externally to solve problems using own initiative or by seeking assistance. Excellent interpersonal and communication skills to create and maintain effective business relationships at all levels within both the business and supplier organisations.
