Sharpak Aylesham is a manufacturer of thermoformed plastic packaging for use in the Fresh Produce and Food Service divisions. Role Purpose:
The main purpose of this role is to manage and coordinate a wide range of administrative and office functions, ensuring the smooth running of the company and supporting Directors, managers, and teams. Acting as a central point of contact for internal and external stakeholders, the role oversees office operations, business continuity, and organisational processes to support effective decision-making and company objectives.
Key Responsibilities:
Office Operational Management:
* Oversee day-to-day office operations, including supplies, equipment, and facilities management to ensure an efficient, safe, and well-resourced office environment.
* Manage telephone lines and general communications, acting as the main point of contact for internal and external enquiries.
* Welcome and manage visitors to the office, ensuring a professional and positive first impression.
* Organise lunches, catering, and refreshments for meetings and general office use, ensuring supplies of tea, coffee, milk, and other essentials are maintained.
* Organise company events, conferences, and other activities as required.
* Ensure office compliance with health, safety, and security policies, raising awareness and maintaining records where required.
* Own the business continuity plan and processes, ensuring plans are in place to maintain key functions and operations in the event of a disruption or disaster.
Executive Support & Administration:
* Organise meetings for Directors and management, including booking rooms, catering, preparing agendas, taking minutes, and distributing materials.
* Book and manage travel and accommodation arrangements for Directors and managers, ensuring cost-effectiveness and convenience.
* Provide confidential secretarial and administrative support to Directors and senior management, including mailings, handling claims and sensitive documentation.
* Provide support to Directors in preparing and proof-reading documentation, presentations, and media.
* Compile reports and provide information to management as required to support decision-making and Group compliance.
* Collate information or reports needed from Group or other departments.
General Responsibilities:
* Undertake other tasks as required to support the department and achieve company objectives, following any relevant training.
* Ensure compliance with company policies and procedures, maintaining best practices across all office and administrative functions.
* Identify opportunities to improve administrative processes and office efficiency.
Knowledge Skills & Experience
* Proven experience as an Office Manager, PA, or Executive Assistant in a busy, fast-paced environment.
* Strong understanding of modern office administration practices, digital record management, and workflow coordination.
* Proficiency with contemporary business software (e.g., Microsoft 365, Google Workspace, project management and CRM tools).
* Excellent organisational and multitasking abilities, with a proactive approach to problem solving.
* Strong interpersonal and communication skills, both written and verbal, for liaising across all levels of the organisation.
* High level of accuracy and attention to detail in managing documents, reports, and administrative records.
* Minimum 3–5 years’ experience in office or operations management, preferably in a dynamic or multi-site organisation.
* Proven track record in implementing process improvements and supporting business efficiency initiatives.
* Experience coordinating cross-functional projects.
