Our client based in Hatfield Peverel are seeking an experienced Office Manager to join the team on a permanent basis reporting into the Finance Director.
This position requires the successful candidate to oversee the day-to-day operations of the business, ensuring the smooth running of office functions, customer service, financial administration, HR support, project coordination and executive support. The role acts as the operational hub of the business, supporting Directors, managing office staff, improving processes and ensuring a high level of customer service across multiple departments.
Key duties will include:
Oversee the day-to-day running of the office and operational functions
Manage and support office staff, allocating workloads and providing training
Develop, implement and continually improve company processes and procedures
Produce operational reports and management information for Directors
Attend management meetings and produce detailed minutes and action plans
Act as the central point of contact between departments to ensure effective communication
Manage office suppliers and service providers, purchasing office equipment and consumables ensuring the smooth running of the office
Ensure meeting rooms and office environments remain fully operational.
Manage diaries, meetings and travel arrangements
Arrange UK and international travel, including flights, hotels, vehicle hire and itineraries
Coordinate company events, meetings and conferences
Prepare presentations and documentation for senior management
Manage customer and partner enquiries, handling complaints and resolving escalated customer issues
Liaise with suppliers, manufacturers and logistics providers
Provide technical support coordination for engineers and partners
Manage service bookings, warranty requests and spare parts enquiries
Raise customer invoices, proforma invoices and sales orders
Assist with credit control and debt recovery where required
Monitor budgets and project costs including preparing monthly reports and financial information for management
Liaise with Finance regarding payments, purchase orders and reconciliations
Manage supplier accounts and negotiate pricing where appropriate
Create and maintain project documentation
Schedule engineers and subcontractors
Ensure project planners remain up to date
Assist with recruitment and on-boarding, including training new employees
Maintain accurate HR records, manage holiday requests and sickness records
Working alongside external HR providers where required
Coordinate employee benefits including healthcare and life insurance
Organise internal and external training courses including coordinating engineer training programmesExperience required:
Excellent organisational and communication skills
Worked within an Office Manager / Office Supervisor / Team Leader post previously
Ability to manage multiple priorities simultaneously
Strong problem-solving ability
Financial and HR administration experience
Advanced Microsoft Office skills
Ability to work independently
Ability to manage confidential information
