Office Manager Our client is a well-established and highly regarded construction company who specialise in construction, rapid & planned maintenance, and building bespoke environments for the leisure, public, and education sectors. The Opportunity Our client is currently seeking an experienced Office Manager to oversee daily operations and ensure the smooth running of their office. This role plays a critical part in their ability to achieve their goals by creating and maintaining strong relationships with clients, suppliers, sub-contractors, and staff. As the Office Manager, you'll be responsible for managing administrative functions, coordinating office activities, and supporting their construction teams. You'll play a key role in maintaining an organised and efficient workplace while ensuring compliance with industry regulations and company policies. This position requires excellent organisational skills, attention to detail, and the ability to multitask in a fast-paced construction environment. You'll be the first point of contact for clients, suppliers, and sub-contractors, so you'll need to establish strong working relationships with a wide range of people. While you'll be part of a strong team, you'll also need to use your own initiative and make your own decisions. Key Responsibilities Typical tasks for this dynamic role include: Overseeing day-to-day office operations, ensuring efficiency and productivity. Managing company correspondence, including emails, phone calls, and mail. Maintaining and updating company records, contracts, and project documentation. Preparing reports, meeting minutes, and presentations for management. Supporting project managers with administrative tasks, such as scheduling and material ordering. Handling HR-related functions, including recruitment assistance, onboarding, and employee record-keeping. Managing office supplies and equipment procurement. Processing invoices, expense reports, and assisting with accounts payable/receivable tasks. Ensuring compliance with health and safety regulations within the office. Liaising with clients, suppliers, and subcontractors, while fostering strong relationships. Preparing quotation documents using the Xero operating system. Allocating work to subcontractors and organising labour. Recording costs, primarily using Excel spreadsheets. Following procurement strategy and implementing company procedures and H&S regulations. Performing general office duties, filing, ordering products, and administration. Managing a large volume of email correspondence. Loading purchase invoice details onto Xero accounts. Answering and making telephone calls to/from clients, sub-contractors, suppliers, and on-site colleagues. Receiving client requests and processing client orders through to completion, providing updates on work status. Maintaining project continuity by communicating instructions to both office and site-based colleagues. Keeping information accessible by sorting and filing paperwork and electronic documents. Preparing and updating spreadsheets (MS Excel). Providing daily support to all other team members. Opening and distributing the post. Performing PA duties to the Directors, including managing diaries, scheduling meetings and appointments, screening and directing phone calls, distributing correspondence, making travel arrangements, and note-taking. Managing credit control. Implementing and improving office procedures to enhance operational efficiency. What Our Client is Looking For Candidates need to demonstrate: * A high standard of customer service skills and interpersonal and communication skills. * Proven experience as an Office Manager or in a similar administrative role, preferably within the construction industry. * High attention to detail and the ability to handle confidential information. * Ability to create and maintain strong relationships with clients and suppliers. * Being conscientious, well-organised, with practical and logical qualities and a methodical way of thinking. * A creative, innovative, and sensible approach to problem-solving. * Strong numeracy and typing skills. * The ability to write clear and precise emails to relay information simply to a diverse range of people. * Robust skills in Xero and Microsoft Office software, including Xero Accounts, Word, Excel & Outlook. * Knowledge of financial and HR processes is a plus. * The ability to learn new skills and pay attention to detail. * An enthusiastic, polite, friendly, helpful, and caring nature. * Patience and the ability to remain calm in stressful situations. * A willingness and ability to get along with people at all levels. * A positive attitude towards work. * Being thorough and paying attention to detail. * Being reliable, well-presented, self-disciplined, and having excellent time-keeping. * A desire to be part of a successful and friendly team. Beneficial Training Candidates showing evidence of the following training would be beneficial: Typing, Xero, Microsoft Office Software. Some understanding of construction industry processes and terminology is preferable (but not essential). Salary & Benefits Salary Band: £30,600.00 to £40,500.00, dependent on experience. Working Hours: Generally 08:00-17:00 Monday to Friday with a one-hour unpaid lunch break. Workplace Pension 28 days paid holiday including UK bank holidays.
