In this key role, you will work alongside our senior leadership, supporting client account managers, overseeing administrative operations, and acting as the first point of contact for clients. Your work will be essential to ensuring the smooth day-to-day running of the business.

Key Responsibilities:
Office & Administration
* Act as a senior member of the management team, helping drive continuous improvement.
* Monitor and manage all incoming business email correspondence, ensuring timely responses and escalation where necessary.
* Maintain client files, handle archiving, and ensure proper document control.
* Provide comprehensive administrative support across the office, including telephone handling and general management duties.
Client Liaison & Relationship Management
* Be the first point of contact for all clients – both written and verbal.
* Build and maintain excellent client relationships, resolving post-contract issues and responding to feedback.
* Conduct site visits with managers to meet clients and team members as needed.
* Handle complaints directly or via account managers with tact, professionalism, and a solutions-first approach.
Health & Safety
* Collaborate with our Health & Safety Adviser on policies and documentation.
* Update and maintain site-specific H&S manuals, incidents logs and fire warden duties.
* Serve as key client contact for H&S queries and assist with site inspections where required.
* Track certification renewals and compliance
HR, Legal & Projects
* Work with the Finance Manager on staff disputes, insurance claims, and legal matters such as small claims processes.
* Support recruitment processes, assist with posting job adverts
* Manage ad hoc operational projects such as systems upgrades or vendor sourcing.
Sales & Marketing Support
* Assist the Sales Manager with the preparation of tender documentation.
* Contribute ideas and content to website and marketing initiatives.
What we are looking for:
* Proven experience in an Office Manager or similar senior admin role.
* Outstanding communication and customer service skills.
* Confident using Microsoft Excel and office software.
* A team player who enjoys working closely with others
* A calm, solution-focused attitude when handling complaints or challenges

* Location: Office-based in Harlow
* Job Type: Permanent, Full-Time
* Working Hours: Monday to Friday, 8:30-17:00
* Salary: £35,000 per annum
* Holiday: 28 days paid holiday including Bank Holidays
