Salary: £28,000-£32,000 per annum depending on experience

Due to expansion, we are recruiting for a proactive, highly organised Operations Co-Ordinator to join our growing office-based team.
The Role:
As our Operations Co-Ordinator you will provide essential support to our Construction Manager and Site Managers, streamlining operations, managing sensitive information, and ensuring efficient client and team service.
Key Responsibilities:
• Provide continued support to the Construction Manager by managing their diary and monitoring their inbox.
• Contribute to process improvements and workflow efficiencies within project operations.
• Coordinate team meetings and prepare agendas.
• Produce monthly progress reports for individual projects.
• Often act as the first point of contact for the business — manage incoming calls and ad hoc requests.
• Support project coordination by tracking key deadlines, compliance requirements, and deliverables.
• Support onsite delivery teams, ordering materials as directed and fulfilling all administration requirements.
• Communicate professionally with stake-holders, external partners, contractors, occupational therapists, and clients.
• Maintain accurate project records, files, and documentation.
• Assist with tender submissions for projects.
• Scan documents, enter data, and maintain document control and versioning to ensure accuracy and accessibility.
• Manage email inboxes and web enquiries including deleting, filing, forwarding, and replying as necessary.
• Manage company databases and CRM systems.
• Order materials, equipment, and skips from suppliers.
• Assist in monitoring site quality standards and reporting non-compliance issues.
• Facilitate health & safety compliance by maintaining safety records.
• Help plan and track resource allocation including labour, equipment, and supplier schedules.
• Assist with invoice tracking, purchase orders, and maintaining cost logs for projects.
Requirements:
• Proven experience as an administrator or coordinator in construction or property-related environments.
• Strong organisational and multitasking skills with excellent attention to detail.
• An empathetic and patient nature, sensitive to the needs of a vulnerable client base.
• Comfortable handling sensitive and confidential information with discretion.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office; familiarity with project management or document control software is advantageous.
• Ability to work independently, prioritise tasks, and remain calm under pressure in a fast-paced environment.
