The Role The Operations Coordinator is at the heart of the day-to-day, keeping everything ticking behind the scenes. It’s a varied role that touches nearly every aspect of the business — from verifying data and managing client communications, to supporting compliance cycles and shaping operational processes. It’s ideal for someone who thrives in a fast-paced, ever-evolving environment. Key Responsibilities 🔍 Data Review & Operational Oversight • Review and verify documentation submitted through the platform to ensure accuracy and resolve inconsistencies • Monitor platform queues and assign tasks to the relevant internal teams • Uphold high standards of data quality and confidentiality 📊 Platform Maintenance & Record Management • Maintain and update company records across recruitment agencies, contractors, and payroll partners • Process incoming company data to ensure consistency across systems • Manage data cycles in line with each tax month 🗓️ Client Onboarding & Compliance Cycles • Support the onboarding of new clients by sending documentation, sharing guides, and prepping platform access • Coordinate monthly compliance reviews, including document collection, platform updates, and response tracking • Follow up with clients to ensure timely submissions 📬 Customer Support & Communication • Manage incoming support requests from contractors, umbrella companies, and agencies • Triage and resolve queries, escalating to tech or compliance where needed • Provide timely, clear, and supportive responses to all stakeholders ✅ Due Diligence Requests • Occasionally handle due diligence processes by coordinating with external providers and completing internal steps 📌 Internal Monitoring & Alerts • Monitor internal alerts (e.g. via Slack) for platform updates or client issues • Action alerts by updating records or sending communications 🛠️ Operational Systems & Process Development • Maintain spreadsheets and trackers for team collaboration • Keep internal documentation up to date based on client status or process changes • Spot opportunities to streamline systems and make ops more efficient 📣 Marketing & Brand Support • Provide light-touch support with marketing tasks, such as LinkedIn engagement, to help build awareness of the company’s mission and community
