We are working on behalf of a forward thinking and dynamic business who are looking to recruit an experienced PA to provide secretarial support to the Senior Leadership team as part of a team of PAs. The successful candidate will have a proven background supporting at C-Suite / Executive level with PA, administration or secretarial tasks skilled in transcribing and dictation, as well as the ability to touch type. As a PA you will be responsible for supporting the senior leadership team with administrative tasks include diary management, drafting letters, printing and collating documentation on a regular basis.
This is an office-based role working 37.5 hour working week - Monday to Friday 9am until 5pm with half hour lunch.
Role and responsibilities:
* As a PA you will be responsible for providing a comprehensive secretarial service to the Senior Leadership team as part of a team of 3 PAs
* Act as a first point of contact screening calls, taking detailed messages and managing a shared inbox efficiently
* Responsible for organising and updating a variety of calendar appointments and preparing for meetings including agenda preparation and producing document packs
* Take accurate minutes of meetings
* Transcribing and dictation
* Responsible for travel arrangements to include flights and accommodation
* Responsible for booking meeting rooms and providing onsite hospitality
* Process financial administration such as invoices, expenses and mileage
* Handle data and information in a confidential manner with discretion
* PA to the Legal Counsel
* Covering the office and reception adhoc when other team members are out of the office.
* Support with a range of events and projects unique to the organisation.
* General administrative support as required such as responding to emails, handling post, archiving, shredding and maintaining paper and electronic filing systems when required
Skills and experience required:
* Proven work history as a PA, Secretary, Legal Secretary, Executive Assistant or Senior Administrator essential
* Minute taking, transcribing and dictation experience essential
* Excellent time management and organisational skills
* Highly organised with excellent communication skills
* Strong knowledge and confident user of Excel
* High levels of attention to detail
* Ability to engage with a variety of teams across different business lines
