Our Oil & Gas Operator client is currently recruiting for the position of EA/Legal Assistant to support a CEO based in Aberdeen
We are seeking a highly professional and discreet Executive Assistant to provide comprehensive support to both the Chief Executive Officer (CEO) and the Chair of the Board.
This pivotal role requires exceptional organizational skills, sound judgment, and the ability to manage complex schedules and sensitive information.
The ideal candidate will also bring paralegal expertise, supporting legal and governance-related tasks, including board documentation, regulatory filings, and contract management.
Key Responsibilities:
Executive Support
Manage complex calendars, travel arrangements, and meeting logistics for the CEO and Chair.
Prepare high-quality presentations, reports, and correspondence.
Act as a gatekeeper and liaison between the executives and internal/external stakeholders.
Coordinate board meetings, executive offsites, and strategic engagements.
Handle confidential information with utmost discretion.
Paralegal & Governance Support
Assist with drafting, reviewing, and managing legal documents and contracts.
Support corporate governance activities including board minutes, resolutions, and filings.
Liaise with external legal counsel and regulatory bodies as needed.
Maintain legal and compliance records, ensuring timely updates and accuracy.
Monitor deadlines for legal and regulatory obligations.
Administrative Excellence
Ensure smooth day-to-day operations of the executive office.
Maintain filing systems (digital and physical) for legal and executive documentation.
Support expense reporting, procurement, and budget tracking for the executive office.
Qualifications & Experience:
Proven experience as an Executive Assistant or Personal Assistant at C-suite level.
Paralegal certification or equivalent legal training is essential.
Strong understanding of corporate governance and legal documentation.
Excellent written and verbal communication skills.
High proficiency in Microsoft Office Suite and document management systems.
Ability to work independently, prioritize effectively, and manage multiple tasks under pressure.
