Job description Job Overview Our client is currently seeking an Part Time- Office Manager , with responsibilities in finance and customer service. You will be part of a small team working as a Part-Time Office Manager. Tasks * Raising sales invoices and credits. * Collating all purchase invoices and expense receipts and sending to accountant. * Reconciling customer payments in weclapp and on Xero with the bank account. * Loading sales orders on weclapp – from customer emails to sales * Raising quotes (by request from sales) * Answering inbound phone calls * Replying to customer service queries * Updating customers on back orders/private label orders * Creating purchase orders and updating cost prices * Goods in of deliveries in weclapp and creating back order shipments * Creating export documents – commercial invoices for deliveries to Northern Ireland/Ireland/Holland/Germany. * Sorting information for imports Responsibilities * Making sure all details from the month are collated and sent to the accountant by end of 2nd working day of the new month. * Answer every query in the customer service inbox within 30 minutes (during work hours). * Main point of contact for Southern Storage (3PL Company) to ensure no delays with any deliveries. Main point of contact for any courier or delivery service – arranging collections / claiming damages / sorting export or import paperwork OPPORTUNITIES TO GROW: * Forecasting stock requirements * Placing orders with suppliers in Far East, including liaising with graphic designer to sort draft graphic design. * Following up marketing campaigns – telemarketing calls to customers.Following up sales quotes / appointments – calling customers * Booking appointments with customers/prospects. * Project: Sorting product documentation/data sheets – liaising with suppliers to get information to update artwork, data sheets, website Attributes * Office Management skills * Attention to detail * Great communication skills * Self Motivated * Problem Solver * Able to answer inbound calls * Able to organize a small team * Time Management Skills * Organizing weekly meetings Working Hours: Part-Time (22 hours a week) Salary: TBC Job Types: Part-time, Permanent Expected hours: 22 per week Job Type: Part-time Expected hours: 22 per week
