Job Description

Shipping & Logistics Administrator Maternity Cover (Up to 12 Months) Reports to: Managing Director Systems: Internal CRM & Shipping Portals Salary: up to £35,000 (pro rata) Hours: Monday to Friday (20 – 25 per week) Overview We are seeking a highly organised and detail-focused Shipping & Logistics Administrator to support our client’s supply chain operations during a maternity cover period. The company supplies household products to major retailers and online channels, and the role is essential to ensuring smooth coordination between overseas factories, shipping agents, and UK warehousing. This role involves managing shipping schedules, confirming container bookings, tracking goods in transit, and ensuring all goods and documents are accurate before being passed to the Accounts team. Key Responsibilities Shipping Coordination * Arrange and confirm shipping containers with Far East factories. * Monitor goods-ready dates, production updates, and sailing schedules. * Track shipments through portals, monitoring systems, and factory communication. * Manage planned container loads and ensure effective coordination with shipping partners. * Oversee inbound deliveries from port to warehouse, ensuring accurate and timely receipt. * Documentation & Compliance * Check that goods loaded match purchase order quantities and associated paperwork. * Verify shipping documents before passing them to the Accounts team. * Monitor China goods in transit and confirm correct loading, invoice details, and packing lists. * Support purchase planning alongside the Managing Director and Accounts team. * Maintain shared logs for goods-ready dates, shipping schedules, and planned container loading. * Logistics & Order Processing * Process wholesale orders and book related logistics. * Check that factory invoices match goods shipped. * Use portals and internal CRM systems for order tracking, container management, and workflow admin. Skills & Experience Required * Experience in booking shipping/sea freight and administration, import logistics, and supply chain coordination (Working with Importer). * Ideally you’ll be available immediately * Ability to manage multiple deadlines with goods ready dates, sailing and logistics. * Working with online portals, logistics platforms, and CRM systems. * Excellent communication skills for dealing with factories, freight partners, and warehouse teams. * High attention to detail in reviewing documentation and shipment data. * Ability to work independently and proactively resolve issues.
