A leading public sector organisation based in Lisburn is seeking an experienced and proactive personal assistant to support senior leadership within a fast-paced, high-impact healthcare environment. Your new role
As personal assistant, you will provide comprehensive administrative and secretarial support to senior operational leaders. You'll be responsible for managing complex diaries, preparing high-quality documentation, coordinating meetings, and ensuring the smooth flow of information across departments. This role requires a high level of discretion, initiative, and the ability to manage competing priorities effectively.
Key Responsibilities
Provide daily administrative support including document preparation, audio typing, data entry, and email management
Manage diaries, schedule meetings, and ensure leaders are fully briefed with relevant materials.
Handle internal and external communications, prioritising and escalating issues as needed
Maintain accurate records and ensure compliance with data protection and organisational policies
Support committees and projects through minute-taking, agenda preparation, and follow-up actions
Liaise with charity partners and external stakeholders in a professional and confidential manner
Supervise junior administrative staff, delegate tasks, and provide training where required
Oversee office systems, supplies, and travel arrangements
Verify invoices and manage hospitality for visitors and events
What you'll need to succeed
5 GCSEs at grade C or above, including English/English Language and Math, or equivalent educational qualifications AND a minimum of 2 years' experience in an administrative or secretarial position to include experience of Microsoft Office Professional Suite or equivalent e.g. Word processing, creating spreadsheets, email management, creating databases, PowerPoint presentations.

Hold a current full driving license which is valid for use in the UK and have access to a car on appointment. This criteria will be waived in the case of applicants whose disability prohibits driving but who have access to a form of transport approved by the Trust which will permit them to carry out the duties of the post
Word/Text Processing Level 2 - OCR/RSA (or equivalent).
Ability to minute/note take at Committee level, meetings etc.
Ability to delegate, motivate and use initiative. What you'll get in return
£13.57 per hour
