About the Role: As a Personal Assistant, you will play a vital role in ensuring the smooth operation of our CEO's and Operations team's day-to-day activities. You'll be at the heart of our organisation, providing essential administrative support and facilitating effective teamwork. Key Responsibilities: Personal Assistant Duties: Efficiently manage diaries and schedules for the CEO and Head of Operations Coordinate internal and external meetings, both virtually and in-person Attend Board meetings, taking notes/accurate minutes on AI Note-taking Organise travel and accommodation arrangements Ensure catering and meeting space bookings are seamless Plan and execute events with flair Assist in creating engaging Board materials Welcome and greet visitors, representing our organisation with professionalism Prepare the CEO and Head of Operations for meetings, ensuring they have all necessary materials. Operations Support: Collaborate closely with the Operations team to fulfil various requests Draft, review, and format important documentation Maintain and update trackers with precision Upload documents to cloud-based platforms for easy access Capture meeting notes and promptly update our online project management system. Skills and Experience Required: Essential: Previous experience as a Personal Assistant Proficient in drafting and formatting documents Strong note-taking skills with attention to actionable items Familiarity with IT applications (Asana, Dropbox, MS Office-especially Outlook) Proven ability to maintain trackers effectively Excellent organisational and time management abilities Ability to thrive under pressure, prioritising tasks and multitasking A collaborative team player with strong communication skills Flexibility to adapt to changing priorities and a keen eye for detail Desirable: A hardworking ethic with high accuracy skills Strong interpersonal skills to foster relationships with colleagues Key Personal Criteria: Comfortable asking questions to enhance understanding Open, respectful, and collaborative with all team members Capable of seeing the bigger picture while problem-solving Proactive and self-reflective in your approach to work Why Join Us?
