Headley have a live vacancy with a manufacturing and project management company who are seeking an experienced and confident project administrator / coordinator to support the growing business, and assist on a range of cool and interesting projects.
The Role
This is a varied and hands-on position supporting both the operational and administrative functions of the business. You’ll work closely with the Project Managers, Production Team, and Directors to ensure projects run smoothly from start to finish, while maintaining an efficient, professional, and well-organised office environment.
Key Responsibilities
Project Administration
* Assist Project Managers with scheduling, documentation, and client communication.
* Maintain accurate project files, timelines, and cost tracking.
* Liaise with suppliers, contractors, and clients to ensure timely delivery of materials and services.
* Support the preparation of project quotations, purchase orders, and invoicing.
* Coordinate logistics, including transport, installation, and breakdown for exhibition projects.
Office Management
* Oversee day-to-day office operations, ensuring a smooth and efficient working environment.
* Manage office supplies, equipment, and facilities maintenance.
* Support HR administration, including onboarding, holiday tracking, and staff communication.
* Coordinate meetings, travel arrangements, and internal communications.
* Maintain and improve administrative systems and processes.
About You
* Proven experience in a project support, administrative, or office management role - ideally within construction, shopfitting, exhibitions, fitout or related sectors
* Excellent organisational and multitasking skills, with a strong attention to detail.
* Confident communicator with the ability to liaise effectively across teams and with external partners.
* Strong IT skills
