Project Administrator
Salary Range: £30,000 - £35,000
Reporting to: Senior Management Team
Contract Type: Full-time, Permanent
Location: Guildford -Free parking on-site (Office Based)
Hours: Monday to Friday with alternating shifts per week (08:00 to 17:00 / 09:00 to 18:00 )

Role Overview: We are seeking a highly organised and experienced Project Administrator to support the Senior Management Team in the delivery of construction and maintenance projects. The ideal candidate will bring a strong background in site administration, compliance documentation, and stakeholder coordination, with the ability to manage multiple priorities across a fast-paced environment.
Key Responsibilities:
Provide administrative support to the Senior Management Team across multiple projects
Maintain and update compliance documentation via internal and external portals.
Manage daily site administration tasks such as:
Site diaries
Visitor bookings and security coordination
Site inductions and qualification certificate filing
Ensure all Health & Safety documentation is current and accessible
Coordinate and minute weekly subcontractor meetings, distributing notes to relevant stakeholders.
Support project tracking and reporting using internal systems and client portals.
Liaise with engineers, subcontractors, and clients to ensure smooth communication and project updates.
Assist with procurement tasks such as ordering parts and PPE, and preparing quotations and invoices.
Monitor service level agreements and escalate issues as needed to ensure contractual compliance.Essential Skills & Experience:
Proven experience in a Site Manager, Project Administrator, or Contracts Administrator role within construction or maintenance sectors.
Strong understanding of compliance and health & safety requirements in construction environments.
Proficient in using shared drives, project management systems, and client portals.
Excellent organisation and communication skills.
