Project/Contract Manager Roles
Where you fit: As part of the Management Team you are key to the success of all live projects. Closely aligned to this is the development of your peers and setting an example to team members that work alongside you.
Key Objective: Responsible for the overall coordination, management and leadership of approx. 5- 10 live (onsite) and 15-20 (in the system) external projects from POS to final account close. Project size from 5K – 3M. (Figures may vary time to time)
Job Challenge: Delivering projects, on time, below budget with the highest quality and to an exceptional H&S standard.
Main tasks:
* Following Handover Meeting - Read and understand the Contract Budget/Quote/Scope of Works/Finishes/Delivery Programme and Specifications.
* Find out programme, compile easy plans for all tasks and administer them
* Plan how the job will be done
* Identify and meet all stakeholders, discuss requirement and responsibilities of the project team
* Act as the main point of contact for the customer with regular communications email/verbal/F2F
* Develop a communication plan
* Create a risk management strategy
* Action the design phase with the Design Manager
* Design coordination for Client, architect, drafter, engineer certification
* Action procurement phase alongside Contracts Director
* Check the drawings that have been produced for approval before they are submitted to the client
* Sample submission and approval (if required)
* Oversee scope changes and variations (VO sheet to be used)
* Responsibility to close down dayworks/variations with site management during or before the installation process and before any subcontract invoices are received. No VO’s are to be outstanding at each monthly valuation date and when installation is complete.
* Check fabrication drawings prior to job card issue to Purchasing
* Preplanning access for site measurement
* Plan fabrication and installation methodology – cheaper/quicker
* Understand Site Picking List and build inventory of finished products for delivery to site
* Collate all delivery/packing documents for transport
* Production/Quality Management supervision
* Arrange installation team resource/confirm budgets/deliver construction drawings
* Raise itemised incremented order requisition for installation teams before any works are carried out and pass to Purchasing
* Confirm delivery date of goods to site and organise transport type, advise purchasing/installation – a minimum of 3 working days before required on site
* Ensure return of signed installation orders to Operations
* Create lifting methodology for product
* Create site specific requirement summary - as required in addition to site list produced by Design
* Coordinate and produce SWMS (safe working method statements)/Risk Assessments/ hazard checklist and any additional safety requirements
* Attend Prestart and subbies meetings on site
* Coordinate access equipment and cranage requirements minimum of 3 days before requirement and advise Purchasing
Site set up including facilities/storage/security/inductions and job specific certs
Installation coordination and training, site visits, site meetings
Site visits to be carried out: No.1 Before or at the beginning of an installation. No. 2 During installation as project requires. Reports must be issued with photographs for all projects before and during installation.
Resolving Install Issues, inspections and sign off/ supervising men on site
Responsibility to collect H&S sheets as per site memorandum issued
Responsible for internal Site Safety Audits periodically
Deal with industrial relations matters/ H & S issues etc
Complete/type out O & M manual as per master and distribute to admin alongside designers
Advise of required NCRs to Contracts Director
Prepare and attend to defect reports
Responsible to ensure rubbish removal and site clean up
Coordinate with Contracts Director re Monthly progress invoice/claims in line with monthly targets set at the start of each month.
Follow up final payments/credit control/ cash flow management
Conduct customer satisfaction surveys
Key Performance Indicators
These will include but will not be limited to;
Collating and writing up of project reports.
Project progress sheets
Agreement of Final Accounts to order value or above alongside Contract Director
Completion and compliance of all HSEQ requirements.
On time & budget management.
Collating project feedback information
General Projects Team Tasks
Assist in planning and allocating of labour for all projects
Take part in weekly updates offering constructive advice to team members
Assist team members with visits if location of your visit suits
Assist in the general forecasting of labour throughout the year
Assist in the general forecasting of expenditure/income as required
Contracts Director Assistance
Contract administration, getting quotes, subcontract agreements, approval of payments to subcontractors, approve purchases
Contract disputes or notices as and when required
Co-ordinated review of ongoing projects on a weekly basis and devise action point plans
Responsibility to collect sign off sheets as per site memorandum issued (for the record – invoices are passed to accounts when sign off sheets are received, and not before, and then they follow the procedure of verification/entry on to the system and creditors listing before payment)
Raise NCR’s and advise Operations, and store on server
Coordinate with accounts re Monthly progress invoice/claims in line with monthly targets
Assist with any issues/concerns of the relevant PM/CM
