QHSE Administrator- North Aberdeen
The Role
To provide administrative support to the Quality, Health, Safety, and Environmental (QHSE) team by maintaining accurate records, managing documentation, coordinating training and audits, and assisting in the implementation of QHSE policies and procedures. The QHSE Administrator ensures that all compliance-related documentation is up to date and accessible, contributing to the smooth operation of the organisation’s QHSE management systems.
Responsibilities
Administrative Support
* Maintain and update QHSE documentation, records, and databases.
* Assist in preparing reports, presentations, and meeting minutes.
* Support the QHSE team with day-to-day administrative tasks.
Document Control
* Ensure all QHSE policies, procedures, and forms are current and properly filed.
* Manage document version control and distribution.
* Assist in the preparation and review of QHSE manuals and handbooks.
Audit & Inspection Coordination
* Schedule and coordinate internal and external audits.
* Track audit findings and corrective actions.
* Maintain audit logs and follow-up documentation.
Training & Compliance
* Maintain training records and ensure certifications are up to date.
* Coordinate QHSE training sessions and inductions for staff and contractors.
* Monitor compliance with training requirements.
* Incident Reporting & Investigation Support
* Log incidents, near misses, and non-conformances.
* Assist in compiling investigation reports and tracking corrective actions.
* Maintain incident registers and statistics.
Communication & Reporting
* Distribute QHSE communications, alerts, and bulletins.
* Prepare monthly QHSE performance summaries.
* Support the preparation of data for management reviews.
System Support
* Assist in maintaining QHSE management systems (e.g., ISO 9001, ISO 14001, ISO 45001).
* Help ensure compliance with legal and regulatory requirements.
* Support continuous improvement initiatives.
Requirements
* At least 3 years’ experience in this type of role is preferred.
* Strong administrative background.
Remuneration
* Salary- £28-32K
* Full-time and Permanent
* Fully on-site
