Job Description

A Senior Administrator is required for to join a busy operations team in Leeds. This full time role offers a great career that is busy and varied, to take control of prompt and supportive customer service enquiries whilst supporting management with correspondence and coordination. This role is central to supporting the operational efficiency and customer satisfaction goals of the service department. From managing service schedules, coordinating with clients and technicians, overseeing administrative support staff, and ensuring outstanding customer support, this is a role that needs someone with strong administrative and customer service skills, ideally within facilities, service -based industries or horticulture. Key Responsibilities: • Oversee day-to-day administrative support for customer service operations in interior landscaping. • Coordinate with service technicians, account managers, and clients to ensure timely and high-quality service delivery. • Manage service schedules, recurring maintenance visits, work orders, and emergency requests. • Monitor customer satisfaction and proactively resolve complaints or issues. • Supervise and support administrative staff responsible for data entry, call handling, and documentation. • Maintain accurate customer records, service logs, and inventory data in the CRM or scheduling system. • Generate client reports, service summaries, and invoicing support documentation. • Serve as the first point of escalation for customer service issues and ensure timely resolution. • Assist with training, onboarding, and mentoring of customer service team members. • Coordinate with Sales and Operations teams to ensure smooth customer handover and ongoing support. • Identify areas for process improvement and help implement new procedures to improve efficiency and customer experience. Qualifications: • Bachelor’s degree or equivalent experience in business administration, horticulture operations, or a related field. • Great experience in administrative or customer service role, preferably within landscaping, facilities, or service industries. • Experience supervising or mentoring staff in an office or customer service setting. • Excellent communication, interpersonal, and organizational skills. • Proficient in Microsoft Office Suite and CRM software. • Ability to multitask, prioritize, and remain calm under pressure. • High attention to detail, particularly in scheduling and customer follow-up. • Familiarity with interior plantscaping or horticulture services is a strong asset, or even a passion for gardening.
