Job Description

SUMMARY Coordinates activities involved with purchasing goods and services from suppliers. Responsible for purchasing and expediting goods and services, obtaining quotes, and ensuring supplier performance for quality, delivery and budget. Completes duties under the direction of the Production Manager ESSENTIAL GENERIC DUTIES AND RESPONSIBILITIES include the following; * Maintain electronic system based procurement records including and not limited to items or services purchased, costs, delivery, product quality or performance, and inventories. * Place purchase orders based upon requisitions for all engineering materials, component parts, and other peripheral items and enter the orders into the ERP system. * Competitively bid product lines to ensure best possible price and delivery, while maintaining quality standards. * Expedite purchase orders, making sure supplier deliveries are on time and ensure that all generated reports reflect current and accurate dates and information. * Ensure that all delivered orders meet company standards, are on time and to budget and meet the required quality standards. Negotiate with suppliers on replacement of non-conforming goods and services to company / customer requirements. * Performs work fully in accordance with all safety, health and environment requirements set out on BMS * Other duties may be assigned as required. LOCAL DUTIES AND RESPONSIBILITIES include the following; * Prepares supplier quotation request and purchase orders to place orders for all engineering materials, equipment, component parts, services and other items. * Review bid proposals and negotiate contracts within budgetary limitations and scope of authority. Negotiate payments terms to assist the Company with positive cash flow. * Use approved vendors. * Review requisitions. Liaise with Company colleagues and with suppliers to obtain product or service information, such as price, availability, specifications and delivery schedules. * Assistance as required with Goods Inwards and Stores. * Negotiate with suppliers to resolve defective or unacceptable goods or services. Work with the Company’s quality department to determine source of defect and required corrective action. * Approve invoices for payment with authority. Resolve invoice queries raised by the Accounts department. * Support the Production Manager for: a. Plan and implement sourcing and purchasing strategies b. Build and sustain constructive and challenging relationships with suppliers c. Maintain and develop a database of approved suppliers that add value to the performance of the Company d. Work with the Company’s quality department to qualify, approve and monitor new and existing suppliers e. Work with the Company’s quality department on supplier quality assurance and control to ensure the Company meets its own and its customer’s standards and specifications f. Negotiate lower pricing and best value for the Company g. Regularly measure and report on supplier performance h. Alert the Production Manager and other managers as needed if a supplier’s performance presents a key risk for the Company * Provide purchasing expenditure and other reports as directed * Carry out duties and responsibilities in accordance with Company requirements as set out in BMS LEADERSHIP/SUPERVISORY RESPONSIBILITIES May be expected to mentor and train others. EDUCATION, TRAINING AND EXPERIENCE Accredited qualification in Procurement (CIPS) and 5 years directly related experience in a production, purchasing, manufacturing, design environment. COMMUNICATION SKILLS Ability to resolve complaints and respond to sensitive enquiries effectively; Ability to understand and both read, write and converse in English and at advanced level. INDEPENDENT JUDGEMENT, DECISION MAKING & PROBLEM SOLVING: Ability to make decisions requiring the use of a variety of variables instandard and non-standard situations. Requires discretion and independent judgment on matters of significance. OTHER SKILLS AND ABILITIES Computer Skills: Proficiency in Word, Excel, and other MS Office programs and ERP system eg IFS Mathematical Skills: Ability to understand and apply mathematical concepts at a high level such as addition, subtraction, multiplication, division and statistical analysis. Travel: Occasionally UK Other: * Mandatory requirement to hold a full current U.K driving license * Full knowledge of purchasing policies and procedures with an understanding of appropriate contract, terms of purchase and related legal issues. * Ability to meet deadlines, multi-task, and be detail oriented in order to keep track of all enquiries and orders. Completion and follow-through is also important to make sure orders arrive at their final destination to meet customer requirements. * Direct knowledge Company processes and procedures as detailed on the Company’s BMS.
