Job Description

Job Title: Service Administrator Location: Guildford Salary: £27,000 - £30,000 per annum Hours: Monday to Friday 8am-6pm (May works occasional Saturday morning when needed (Paid as overtime). We are recruiting for an experienced Service Administrator, Warranty Advisor for our client’s family-owned dealership in Guildford. As a Service Administrator, you will play a vital role in supporting the daily operations of the service department. This position is primarily focused on warranty processing, job card preparation, accurate data entry, and assisting with customer communication. You will work closely with service advisors, technicians, and manufacturer warranty systems to ensure efficiency and compliance within the aftersales operation. Key Responsibilities of Service Administrator: * Prepare and process job cards accurately in advance of scheduled workshop appointments * Submit warranty claims in accordance with manufacturer policies and within required timeframes * Assist service advisors with a range of administrative duties, including data entry, invoicing, and maintaining customer records * Conduct follow-up calls to customers regarding pending authorisations, satisfaction feedback, or post-service queries * Coordinate with technicians and workshop control to ensure accurate job coding and system updates * Keep well-organised records of warranty claim progress, audit results, and related documentation * Offer general administrative assistance to the aftersales team as needed * Ensure all activities align with both manufacturer standards and internal company procedures What we are looking for: * Previous experience in a dealership, service admin, or automotive warranty environment is advantageous. * Strong organisational and administrative abilities. * High attention to detail and accuracy in data input. * Excellent communication skills with both internal teams and customers. * Proficient in Microsoft Office and Dealer Management Systems (DMS), with training provided. * A proactive, flexible attitude toward workload and team collaboration. * A full UK driving license is preferred but not required.
