Job Title: Stores Administrative Assistant

Working out of our state-of-the-art 240,000 ft² facility in Carmarthenshire, South Wales, we fabricate more than 1,750 sash windows a week and supply over 3,000 trade customers. The Role:
We are seeking a highly organised and detail-oriented Administrative Assistant to join our Manufacturing Stores team. This role is key to ensuring the smooth and efficient operation of our stores department, specifically with material booking and consumable ordering. The successful candidate will be proficient in using Sage 200 or other material booking in systems, have excellent attention to detail, and possess strong communication skills to support our operations.
Main Duties and Responsibilities:
Accurately book in materials received from suppliers into the Sage 200 system.
Verify that incoming materials match purchase orders and delivery notes.
Maintain accurate records of stock levels and update the system regularly to reflect material usage.Consumable Ordering:
Monitor stock levels of consumables (e.g., tools, PPE, Shop floor supplies) and initiate orders when necessary.
Place orders with approved suppliers and ensure timely delivery to prevent production delays.
Manage supplier relationships and assist in resolving any issues with orders or deliveries.Inventory Management:
Assist with regular stock checks and ensure inventory records in Sage 200 are accurate and up-to-date.
Identify and report any discrepancies in stock levels to the Inventory Manager
Maintain an organised and safe working environment in the stores area.Documentation and Reporting:
Prepare and maintain purchase orders, receipts, and other relevant paperwork in accordance with company policies.
Ensure compliance with company procedures and industry regulations.Communication and Coordination:
Coordinate with production and procurement teams to ensure timely availability of materials and consumables.
Provide administrative support to the Inventory Manager as needed.
Respond promptly to internal inquiries regarding stock and order statuses.Person specification:

GCSEs or equivalent, including Mathematics and EnglishSkills, knowledge and ability:

Strong organisational and time management skills with the ability to manage multiple tasks and deadlines.
High attention to detail, ensuring accuracy in data entry and stock tracking
Good communication skills, both written and verbal, to liaise with suppliers and internal teams.
Experience using Excel, for reporting and data management.Personal characteristics:
