About the role
Synergize delivers planned and reactive works to Service Family Accommodation across the MOD estate as part of the Vivo contract. When a property is handed back, it has to be surveyed, turned around and brought back to standard so the next service family can move in — on time, first time, and to a fixed specification.
The Void Coordinator / Scheduler sits at the centre of that process. You will own the diary: sequencing trades, booking works, chasing materials and keeping every void moving from handback to handover. It is a fast, high volume role where the difference between hitting and missing turnaround targets is usually down to how well the schedule is built and how quickly problems are spotted.
Key responsibilities
Scheduling and coordination
Plan and allocate daily and weekly works for a directly employed trades workforce and approved subcontractors, sequencing tasks so properties move through the void process without dead time.
Build and maintain the void programme, tracking each property against its target turnaround date and escalating slippage early.
Book, confirm and re-schedule appointments, adjusting the plan in real time around absence, access issues, variations and emergent works.
Raise and issue works orders, and order materials and plant so operatives arrive with what they need.
Systems and administration
Maintain accurate, live records on the job management system — job status, notes, timings, photographic evidence and completion data.
Process variations and additional works requests, gathering the detail needed for approval and pricing.
Collate compliance documentation and certification for each void, ensuring the pack is complete before handover.
Produce daily and weekly reporting on volumes, turnaround times, work in progress and KPI performance.
Stakeholder and customer liaison
Act as the day to day point of contact for operatives, supervisors and subcontractors on scheduling matters.
Liaise with the client and accommodation service partners on handbacks, access, key management and move in dates.
Handle queries and complaints professionally, resolving where possible and escalating where not.
Work closely with commercial, supply chain and site management colleagues to keep the programme and the cost position aligned.
Performance and compliance
Monitor performance against contractual SLAs and KPIs, flagging risks to the Void Manager with enough notice to act on them.
Support internal audits and client inspections with accurate records.
Work in line with health, safety and MOD site protocols at all times.
Skills and experience
Essential
Experience in a scheduling, planning, resource coordination or works coordination role within social housing, property maintenance, facilities management, void works or a similar trades based environment.
Confident coordinating multi trade operatives and subcontractors across a live workload.
Strong administrative and IT skills, including MS Excel and job management or CAFM systems.
Excellent organisational ability and the resilience to re-prioritise under pressure without losing track of detail.
Clear, professional communication with trades, clients and residents alike.
Eligible to obtain and hold MOD security clearance (five year UK residency required).
Desirable
Void or property turnaround experience specifically, including familiarity with lettable standards.
Background working on an MOD, defence or public sector contract.
Working knowledge of building trades and typical void work packages.
Understanding of SLA and KPI driven contracts and the reporting that goes with them.
Full UK driving licence.
Person specification
