The Role
We’re looking for a highly organised and customer-focused Voids Administrator to join our Repairs & Maintenance division. Working as part of a fast-paced call centre environment, you will support the operational team in delivering an efficient, responsive service to social housing residents and clients.
You’ll help coordinate appointments, manage job updates, liaise with residents, supervisors and tradespeople, and ensure all information is accurately maintained. Your work underpins the smooth delivery of voids and maintenance works across the contract and ensures a great experience for every resident.
Responsibilities
* Provide outstanding customer service to residents, clients and internal teams.
* Arrange and coordinate appointments with tradespeople in a cost-effective, organised manner.
* Manage queries from residents, including rearranging appointments where required.
* Log current jobs onto our job management system and keep all records up to date.
* Reschedule appointments using Opti-Time and other planning tools.
* Work closely with supervisors and operatives to organise and schedule works.Order equipment and materials as needed to support jobs.
* Act as the key communication link between the resident and maintenance teams.
* Liaise with staff at customer sites, keeping them informed of job progress.
* Ensure accurate and timely updates, reporting and information flow at all times.
Follow internal processes and sustainability practices, supporting environmental compliance.
About You
You’re an excellent communicator with strong organisational skills and a calm, customer-first approach. You enjoy working in a fast-paced environment, can multitask effectively, and take pride in keeping information accurate and up to date. You thrive on collaboration and are confident dealing with residents, supervisors and colleagues across the business.
Requirements
* Experience working in a call-centre or customer service environment
* Knowledge of the maintenance sector and related terminology.
* Strong IT skills, including job management systems and scheduling tools (e.g., Opti-Time, ROCC).
* Excellent telephone manner, communication skills and customer-focused approach.
* Ability to prioritise issues, meet tight deadlines and work under pressure.
* Strong problem-solving skills and attention to detail.
* Team player with a strong work ethic and a commitment to respect, professionalism and sustainability.
