Workplace Assistant / Reception

Salary basic €36,000 pa plus benefits
Role purpose
The main focus of the role is to oversee all day to day facilities related workplace responsibilities. You will be building and maintaining strong, positive relationships with the client, customers and vendors along with supporting the front desk with reception duties for cover periods.
Key Responsibilities:
* Conduct daily walk arounds logging any faults or issues with the Helpdesk.
* Track & manage all open jobs through to final completion.
* Coordinate the maintenance calendar. Updating the IT system for maintenance, repairs, fabric works & requirements.
* Assist with setting up meeting rooms and layouts when required
* Build and maintain strong, positive relationships with the client, customers and vendors to promote excellent customer service.
* Ensure all signage and artwork is on brand and compliant removing any non-conformity.
* Undertake basic reception duties e.g. booking & managing meeting rooms, welcome & escort visitors (book/ check them in), hospitality, general Front of House admin etc
* IT support e.g. daily checking IT kit on desks and in meeting rooms, completing fixes where possible,
* Order stationery, consumables, tea/coffee etc meeting room lunches, refreshments etc
* Set up monthly drinks and assist with other office events
* Organise couriers incoming/outgoing post return leavers IT kit to London
* Comply with Health, Safety and Environmental policies and audit compliance.
* Attention to detail of communication to team, stakeholders and the business in general including emails, signage and poster management
* Covering reception during lunch and end of day rota. Responsible for ensuring Front of House is covered at all times arranging temps when required
* Be the face of Workplace & ‘go to’ person for all workplace related matters.
* Landlord liaison around access permits, booking in contractors, loading bay etc.
Hours of work – 9.30am – 6pm
Free breakfast/lunch in company Restaurant
Knowledge
* Customer service background essential
* Knowledge of Facilities Management processes preferable
* IT Skills, Outlook, Excel, Word.
Skill & Experience
* Good attention to detail
* Pro-active and hands on
* Ability to show initiative
* Must have excellent communication skills
* Excellent organisational skills and the ability to prioritise a busy workload
* Knowledge of the FM discipline ideal
* Ability to work alone or as part of a team
* Ability to work closely with / manage contractors & third party suppliers on a day to day basis;
* Experience of developing relevant client relationships
* Previous experience of working within a in a high profile corporate environment
