Overview
We are seeking a highly organised and proactive Responsive Repairs Planner to support the effective delivery of maintenance services within a fast-paced environment.
You will play a key role in coordinating and scheduling repair works, ensuring engineers are deployed efficiently while maintaining high standards of customer service for clients and residents. This role requires strong planning ability, attention to detail, and the ability to manage multiple priorities in line with service level agreements and health & safety requirements.
Key Responsibilities
* Produce daily work schedules and diaries for engineers using planning systems
* Allocate and prioritise responsive and emergency repair works
* Manage and monitor outstanding repairs, including overdue and follow-on works
* Handle ‘no access’ issues, missed appointments, and rescheduling of works
* Maintain accurate records across internal systems and client portals
* Generate appointment schedules, job sheets, and rolling work plans
* Liaise with supervisors to finalise and sign off daily schedules
* Take inbound calls from clients, tenants, and engineers, logging repair requests accurately
* Rebook incomplete works and update relevant systems with progress
* Record completion details and ensure all job data is up to date
* Communicate effectively with clients regarding variations or additional works
* Respond to repair queries from housing associations, residents, and internal stakeholders
What We’re Looking For
* Previous experience in a helpdesk, scheduling, or planning role (ideally within repairs, FM, or social housing)
* Strong organisational and prioritisation skills in a fast-paced environment
* Experience allocating work to operatives or engineers
* Confident handling high volumes of calls and administrative tasks
* Good understanding of service delivery processes and KPIs
* Ability to follow procedures and maintain accurate records
* Strong communication skills and a customer-focused approach
* Ability to work under pressure and meet challenging deadlines
